Board Meeting Minutes

February 12, 2008

Call to order

President Jim Murphy called the meeting to order at 7:01 PM.  The meeting took place at the Knights of Columbus. 

 

Secretary’s Report

The minutes for the January 9, 2008 meeting were presented for approval.  Mike Foster moved that the minutes be approved; Greg Reis seconded; the motion carried.

 

Treasurer’s Report

The Treasurer’s Report, prepared by Lori Schulz, was presented for review.  Lori reported that most player fees have been collected.  League Fees for SLYSA have been paid.  She also reported that sponsorship money from Krieger’s and Advance Physical Therapy has been received.   Mike Plant moved that the report be approved; Mike Foster seconded; the motion carried.

 

Committee Reports…

 

Competition:   Greg Reis reported that SASA players that will attend our Gem City ShootOut tournament are still being determined.   Teams to attend the SASA Tournament set for May 10 & 11th could possibly be as many as 20.  Greg reported that SLYSA schedules are suppose to be available by Monday, February 18.

 

Finance:  No Report.    

 

Fundraising:  It was decided that selling ads for the Gem City ShootOut program would be in the Club’s best interest.  HyVee may become a sponsor in some form.  Terry Bower is talking with Pepsi about becoming a sponsor as well. 

 

Rules and Bylaws:  Denette Kuhlman will be looking through the Club Bylaws and Rules and report on necessary updates.  

 

Activities:  Jane McNay is taking on the responsibility of this committee she is looking for help planning the celebration.

 

Equipment:  Dave Keck reported there have been a few parents asking to make changes to their uniform.  Dave reported that if there are changes to be made to sizing due to the parents’ error, the parents will have to pay for the correction.  Two shirts plus lettering is approximately $35.

 

Merchandising:  Nancy Dreyer reported that tournament shirts have been ordered.  Gray short sleeve shirts were ordered for the Indoor Tournament, however next year we will look at offering long sleeve as well.  Club shirts both short and long sleeve were also ordered; long sleeve will sell for $15 and short sleeve for $10. Orders for hoodies were taken also.  Ball caps with the QUSC logo were also sold.  Lori Murphy and I are still researching coach’s shirts and warm up suits to be offered for sale. 

 

Indoor tournament apparel sales were very good $1,733.  Terry Bower found old uniform shirts, shorts, socks, duffle bags, and bag tags he had in storage.  It was sold at the indoor tournament and went over very well.

 

Indoor Tournament:  First weekend went very well.  Games were played starting at 8:00A and last game starting at 9:00P.  Small field was used from 9:00A to 4:00P.  All games went very smooth.  Second weekend did not have as many teams.  Two U11 boys’ teams from Iowa pulled out at the last minute; Matt filled the time slots with high school teams.  It is suggested for next year to only have the tournament one weekend and to invite teams U11 or U10 and under only.

 

Outdoor Tournament:   U13 boys and girls will be helping plan the tournament along with the Tournament Director and Director of Operations.  Jim reported that two entries have been received.  He has received two – three emails from out of town teams intending to come.  Jim said he entered our tournament information with “Soccer Talk” (which is a free service) and has been receiving emails about the tournament.  Advertisement was also put on “GotSoccer.com”.  Jim is also looking into printing flyers about the tournament to hand out.  Tony Reis is working on getting contact information from SLYSA for U10, U11 and U12 teams. 

 

Newsletter:  Jim reported that the Peters family has changed their mind about doing the newsletter.  Work for them has changed.      

 

Website:  Jim Murphy reported that he is trying to update everything.  Check your team information and submit any changes to Jim and he will make the changes.  Jim also asked team managers or coaches to get their league schedule sent to him and he will put it on the website. 

 

Vice-President’s Report

No Report.

           

Director of Operations Report

Terry Bower reported that all tournament information has been entered for all teams.  Terry reported that team I. D.s are needed to add roster information to the Peoria Tournament webpage.  Terry reminded everyone to remember to get all your travel permits from MYSA.  If anyone has any questions about any tournament, give Terry a call.  He can be reached at t.bower@comcast.net .

 

Director of Coaching Report

Jim Murphy reported that Ryne Schrage took over coaching for the U10B team.  Chris Smith will be helping with the Developmental league. 

 

President’s Report

Jim reported that he would be attending a mandatory tournament meeting for our tournament on March 8th in the Chicago area.  The Referee Assignor for the outdoor tournament will be John Hynek.  Ken Doellman has offered to help.  SLYSA held their annual meeting that we should have attended, however, they didn’t get us properly informed and no one from our Club attended.  Jim reported that the problem has been corrected and shouldn’t happen again.  SLYSA has informed us that teams need to play in the fall league as well or they will be considered a “new” team and may not change divisions.  Dave Keck suggested that parents need to be informed about playing fall SLYSA at the tryouts.

 

Try out dates may need to be changed to accommodate fall league play for the SLYSA League.  Discussion took place and it was decided that the tryouts will be held in the middle of the week the 3rd week of June.  A vote will take place under New Business.

 

Old Business

Peoria’s Mid America Cup tournament and the Kansas City Legends tournament are both college showcase tournaments that do not have the requirement that teams have to attend State Cup tournament games in order to participate in their tournaments.

 

New Business

Lori Murphy (U13G Team Manager) and Cindy Reis (U14B Team Manager) have suggested that the Club select one or two individuals to handle all the travel arrangements (secure hotel rooms) for all Club teams.  They would need to be organized, it would be a benefit to the club to book large groups (free rooms, lower rates, etc.).  Mike Foster motioned that the Club approve the position of Travel Coordinator, Randy Rees seconded the motion; Vote was taken, all approved; motioned carried.

 

Jim Murphy asked the board their thoughts about offering an extra stipend or reimbursement of gas receipts for coaches that don’t have kids in the club to help with travel expenses to league games.   Jim Thomas recommended adding $50 to their coaching stipend, Greg Reis recommended a flat fee for them.  We currently have five coaches that this affects.  Jamy Landwehr made a motion

to approve paying the above mentioned coaches, that this affects, an additional $50 to assist with gas expenses to league games, Mike Foster seconded the motion, all approved; motion carried.

 

Nancy Dreyer motioned that Try outs for the 2009 season be held during the third week of June throughout the week.  Jami Landwehr seconded the motion, all approved; motion carried

 

Discussion

Steve Venvertloh reported that Ramona Barber, professional speaker, will be here in Quincy March 14 – 16th to speak to any family looking to prepare their child for college.

 

Next Meeting

The next meeting will be held Wednesday, March 12, 2008 at 7:00 PM at the Knights of Columbus
